Privacy notice

This notice explains how personal information is used for the 2026 event.

Who we are

Wotton-under-Edge & District Round Table 974, Registered Charity No. 1080029, is the data controller for personal information we collect in organising the event.

What we collect

When you place an order we may collect purchaser name and email address; details of admission, parking and other event items booked; payment and transaction references; communications about the booking; any optional marketing preference provided during booking; and records showing whether admission tickets have been used.

We do not require the names or contact details of every person in a group booking merely for them to attend. Payment card details are handled by Stripe and are not stored by us in full.

Why we use it

We use booking information to process and administer orders, issue booking information and admission credentials, take and reconcile payment, manage attendance and check-in, send important event and booking information, provide customer service, deal with cancellations and refunds, send optional future-event marketing where chosen, help prevent misuse of tickets and operate the event safely, and meet accounting, legal, regulatory and insurance obligations.

Our legal bases depend on the use and may include performance of the ticket contract, compliance with legal obligations, legitimate interests in administering and safeguarding the event, and consent where we ask for optional marketing choices.

Who we share it with

Service providers used for the 2026 setup include Tito for ticketing, confirmation emails and attendance records, Stripe for payment processing, and Netlify for website hosting and the serverless functions used for ticket availability and price-band automation.

We do not pass purchaser details to another Round Table-family organisation without a clear basis and appropriate notice or permission.

How long we keep it

We keep identifiable event-administration data only as long as reasonably necessary to operate the event and deal with later enquiries, disputes, refunds, insurance or safeguarding issues. Transaction and accounting records may be kept for the period required for the charity’s financial and legal records. Marketing contact details are kept until the person unsubscribes or they are no longer required for that purpose. Where practical, information no longer requiring identification will be deleted or anonymised.

Your rights

Depending on the circumstances, data-protection law may give you rights to access, correct, erase, restrict or object to use of your personal information, and to withdraw consent where processing is based on consent.

Photography and filming

Photography and filming may take place at the event for reporting and promotion of Wotton Round Table’s community activities. If you or a member of your family would prefer not to appear in identifiable photographs, please speak to a member of the event team or photographer.

Extra care is taken with identifiable children. Deliberately posed or close-up photographs should use appropriate permission rather than relying only on the general event notice.
